The information we collect depends on how you use PlanSama.

  • Planning information: such as guest count, event date, meal preferences, budget, cooking experience, selected recipes, substitutions, notes, and checklist progress.
  • Dietary information: such as allergies, dietary restrictions, or food preferences that you choose to provide so we can tailor a plan. Please provide only the details needed for planning. PlanSama does not use this information to diagnose or treat any medical condition.

  • Communications: information included when you contact support, send feedback, request a refund, respond to a survey, or communicate with us in another way.

Information collected automatically

  • Device and connection information: including IP address, browser type, operating system, device type, language, and approximate location derived from an IP address.
  • Usage information: including pages viewed, links clicked, referring pages, features used, session timing, errors, and general interaction with the service.
  • Cookie and similar technology data: used for functions such as keeping you signed in, remembering preferences, measuring site performance, and understanding how PlanSama is used.

Information from other sources

We may receive limited information from service providers that help us operate PlanSama, such as payment confirmation, account-authentication details, fraud signals, email-delivery information, or analytics reports. We may also receive information when another person invites you to, shares, or collaborates on a plan, if those features are available.

3. How we use information

We may use personal information to:

  • Provide, personalize, maintain, and improve PlanSama.
  • Create recommended menus, scaled quantities, shopping lists, timelines, substitutions, and other planning outputs based on your selections.
  • Create and manage accounts, save progress, and sync preferences.
  • Process purchases, issue receipts, handle refunds, and maintain transaction records.
  • Respond to questions, troubleshoot problems, and provide customer support.
  • Send service notices, security alerts, product updates, and other communications you request or permit.
  • Measure performance, understand feature use, test improvements, and fix errors.
  • Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our rules.
  • Meet legal, tax, accounting, regulatory, and contractual obligations.
  • Establish, exercise, or defend legal claims.

Automated recommendations

PlanSama uses software and automated rules to turn your answers and selections into recommended menus, quantities, timelines, and related planning suggestions. These recommendations are provided to help organize a meal and are not used to make decisions that produce legal or similarly significant effects about you.

5. How information is shared

We may disclose information in the following circumstances:

  • Service providers: companies that provide hosting, data storage, account authentication, payment processing, email delivery, analytics, customer support, security, error monitoring, and similar operational services.
  • At your direction: when you choose to share, export, print, invite someone to, or otherwise disclose a plan or related content.
  • Legal and safety reasons: when we reasonably believe disclosure is necessary to comply with law, respond to lawful process, protect rights or safety, investigate fraud or abuse, or enforce our agreements.
  • Business transactions: in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to appropriate confidentiality measures.
  • Aggregated or de-identified information: information that cannot reasonably identify you may be used or shared for analysis, product improvement, research, and business reporting.

We do not disclose your personal information to third parties merely because they ask for it. We also do not permit service providers to use personal information for purposes unrelated to the services they provide to us, except as allowed by law.

Advertising and “sale” or “sharing”

PlanSama does not sell personal information in exchange for money. If we use advertising or analytics technologies that are treated as a “sale,” “sharing,” or targeted advertising under an applicable privacy law, we will provide any notices and choices required by that law.

6. Cookies and similar technologies

PlanSama and its service providers may use cookies, local storage, pixels, and similar tools. These technologies can help the site function, remember your settings, keep accounts secure, understand performance, and measure how people use the service.

Depending on the features enabled on the site, these tools may include:

  • Strictly necessary tools needed for security, authentication, shopping, and core site functions.
  • Preference tools that remember choices and settings.
  • Analytics tools that help us understand traffic, errors, and product use.
  • Advertising tools, where enabled, that help measure or deliver relevant campaigns.

You can manage cookies through your browser settings and, where available, through PlanSama’s cookie controls. Blocking some cookies may affect how parts of the service work.

7. Payments

Payments may be processed by a third-party payment provider. PlanSama generally receives transaction details such as payment status, amount, currency, purchase reference, and limited billing information, but does not need to store your full payment-card number or card-security code.

A payment provider processes payment information under its own terms and privacy notice. You should review that provider’s notice when completing a purchase.

8. Data retention

We retain personal information only for as long as reasonably necessary for the purposes described in this policy. The period may depend on whether you maintain an account, whether information is needed to provide a saved plan, and whether we must keep records for security, tax, accounting, dispute-resolution, fraud-prevention, or legal reasons.

When personal information is no longer needed, we may delete it, anonymize it, or securely isolate it until deletion is possible. Backup copies may remain for a limited period before being overwritten.

9. International data transfers

PlanSama and the companies that support the service may process information in countries other than the country where you live. Data-protection laws can vary between countries.

Where required, we use appropriate legal and contractual safeguards for international transfers, such as approved contractual terms, adequacy decisions, or another lawful transfer mechanism.

10. Data security

We use reasonable administrative, technical, and organizational measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure. These measures may include access controls, encryption in transit, security monitoring, backups, and limits on who can access personal information.

No website, database, or transmission method is completely secure. You are responsible for using a strong, unique password, keeping sign-in details confidential, and contacting us promptly if you believe your account or information has been compromised.

11. Your privacy rights

Depending on where you live and the law that applies, you may have rights concerning your personal information. These can include the right to:

  • Know whether we process your personal information and receive information about that processing.
  • Request access to or a copy of your personal information.
  • Correct inaccurate or incomplete information.
  • Request deletion of information, subject to legal exceptions.
  • Object to or restrict certain processing.
  • Receive certain information in a portable format.
  • Withdraw consent where processing is based on consent.
  • Opt out of certain targeted advertising, sale, or sharing where applicable.
  • Appeal a decision about a privacy request where applicable.
  • Complain to a data-protection or privacy regulator.

To make a request, email [email protected] with the subject line “Privacy request.” Tell us what you are requesting and provide enough information for us to locate the relevant account or records.

We may need to verify your identity before completing a request. An authorized agent may submit a request where permitted by law, but we may ask for evidence of the agent’s authority and may verify the request directly with you. We will not discriminate against you for exercising an applicable privacy right.

12. Children’s privacy

PlanSama is intended for adults organizing meals and events. It is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 without legally required parental consent.

If you believe a child has provided personal information to PlanSama inappropriately, contact us so we can review and delete it where required.

13. Changes to this policy

We may update this Privacy Policy when PlanSama changes, when our data practices change, or when legal requirements develop. The “Effective” date at the top will show when the current version took effect.

If a change materially affects how we use personal information, we will provide additional notice where required, such as through the website, inside an account, or by email.
